The Challenge

The challenge with project management in today's world is Agile. With Agile, our mindset has shifted gears and started to make us wonder if project management is becoming irrelevant. The past favored the Waterfall methodology and MS Project was used to create project plans. Project Plans used to have Projects tasks, responsible person, time, percentage complete, etc. to understand where we were in the project at any given point. Project managers were also responsible to provide status reports once a week in the form of a 4 blocker (PowerPoint) and WBS reports - Work-Breakdown Structure. Project managers were also responsible to maintain IRAAD (Issues, Risks, Action Items, Assumptions, Decisions) in a shared folder like Sharepoint. Today with Agile, all the work is maintained in tools like JIRA, Assembla, Gemini, Version One, Mingle etc. Stories are created for IRAAD items, status is checked based on points left in backlog, WBS is maintained in the form of story points and velocity.   

Overcoming This

The challenge is with the new methodology, our teams debate the practicality of project management. We have also asked similar questions; why can't a scrum master perform these responsibilities?  Our experience has included projects with and without a PM performing the regular responsibilities. More often than not, projects that have a Project Manager who maintains the project plan, WBS, IRAAD, etc. in traditional methods have been more successful at delivering on time and under budget.

Projects in eCommerce

Electronic Commerce involves some major transformation projects. These projects are highly dependent on each other.  Consider a scenario, Mario wishes to buy a phone charger. Mario decides to buy it online. He goes on xyz.com and browse the item he wants. He logs in and creates his account in order to compare a few items. He reviews the product details/description and selects to add it to his cart. Now he decides to pay online and uses his credit card to checkout. This involves electronic payment rules. Once he submits the payment, he receives an email that his order is being processed. In the backend when the xyz company receives his order, they run an inventory check to confirm that the item is available. The order management team confirms the order is now shipped.  Since Mario has created an account using his birthdate, marketing teams sends a notification to mario for his birthday coupon. Mario can also go into the nearest store of xyz to buy a different item on his account. That process is managed by the Retail management team.   

Now that we have talked about Mario's examples, below are major projects are most popular projects run in e-commerce industry My Account (Personalized Account home) - A customer could go online and create his/her account with personalized features, like time zone, address, Credit card info, wedding registry, coupons etc. Browse - A customer can go online and search for products he/she is interested in. The customer can browse all the products, sort, filter etc to streamline his search. Product / Catalog - Customer likes to read about the product before making a purchase. All the product details are in product/catalog section. Customer can select multiple products, perform a comparison etc. to understand the product better. Cart - Once a customer likes an item, they can add an item to their digital cart. Customer can add as many items to their cart as they wish.  Checkout - Once a customer has made a decision to buy those items, he choses to perform a digital checkout using his Card, Account information. He can also apply coupons at this time to his checkout page.  ePay - Electronic payment is a process that is developed for the checkout system. ePay confirms the data is encrypted and integrated with the banks to confirm the payment. Most companies use a middle vendor like CyberSource to perform ePay in order to reduce the legal complications.  Inventory Management - The backend inventory is managed by the Inventory Management system. This team identifies if the inventory is available and if there is a waiting time for inventory to be published on site.  Retail Management - A Customer can go in store and buy products from the retail store. The process is maintained by Retail management system usually referred to RMS. Order Management - From the order being confirmed, processed, shipped, delivered all the order details are maintained in Order Management System usually referred as OMS. Marketing - Marketing helps bring customer to the company by identifying successful deals like Deal of the Day, Birthday deals, Black friday deals, Weekend special deals etc. These deals are marketed on the website banner or sent as a notification to existing customers to bring more purchase. Data Analytics & Reporting - Companies need analytics and reporting in order to understand the high demanding products, low demanding products, deals used, revenue from certain URLs etc. The reporting is important for Business to make revenue making decisions.
